Party Terms

The Willows Tea Room is an ideal place for bridal showers and luncheons, baby showers, club meetings, children’s and adult’s birthday parties and parties for any occasion.

 

The Willows has a capacity for up to 30 table-seated people.  Events can be held during business hours or as private events (any time when the tea room is strictly reserved for your party and closed to all other clients.)  A signed contract with a non-refundable deposit of $75 will secure the date and time of the event.

 

A Private Event

You may book a private event for the tea room during non-business hours.  You may also book the tea room for private events during business hours.  To reserve the tea room during our business hours for a private event does requires a minimum of 20 guaranteed attendees.  A room charge of $60 per hour (with a two hour minimum) applies to all private events, including your set-up time and removal time for any additional requests for your event.  Tables may be modified with management approval.  Audio equipment is provided by the tea room.  We will work with you to modify an existing menu to better suit your needs.  A signed contract and non-refundable deposit is due 15 days before your event.

 

A Reservation for an Event During Business Hours

You may make a reservation during business hours for a smaller special event (no room charges apply).  We will reserve select tables as available for your party.  Tables may be put together to accommodate larger groups.  Please keep in mind that other clients will also be dining in the tea room during your event, so you will not have privacy. 

 

Additional Terms and Conditions

The following terms and conditions apply to both private events and events made by reservation.

 

1.       Gratuity of 20% and sales tax of 6.25% will be added to the grand total.  We accept most major credit cards (with the exception of Discover), cash and checks.

 

2.       Deposits of $75 are non-refundable if The Willows Tea Room is not informed of event cancellation at least five (5) business days in advance of event.  However, the deposit may be transferred to a future event within three months of cancelled event.  The deposit will be applied to the balance due when the event is charged if applicable.

 

3.       Client will provide any special cake or party favors for guests (unless arranged for the tea room to order and supply them).  For events by reservation during business hours, there will be a $1/person cake cutting/serving charge.  There is no charge for this service for private events.

 

4.       Client is required to notify The Willows Tea Room of any change in the guaranteed total number of guests, no later than three (3) business days before the event or you will be charged for the guaranteed number.  Additional charges will apply for any additional guests added after this date.

 

5.       Client agrees to pay for any damages done to the public space and the premises contracted by the client and under the oversight of the client for the reserved event.  This shall include all acts of negligence, mishap or malice by invitees, guests and attendees of the event.

 

6.       The Willows Tea Room will not assume any responsibility for loss or damage of any property of the client or client’s guests, before, during and after the special event contracted by the client. Event sponsor shall indemnify and hold the tea room harmless for any injury to persons or damage to property except in claims due to The Willows gross negligence. 

 

7.       Client is responsible for any breakage or damage done to property of The Willows Tea Room.

 

Restrictions:

The following rules must be followed in accordance with the rental for your event:

*       All indoor decorations must be approved by management.  

*      No glitter, confetti, birdseed or rice allowed inside the building.       

*       No puncture in walls or ceilings allowed.

*       No tape allowed on walls.

 

Definite Confirmation:

The above function space is being held on a tentative basis.  At the time of signing, we ask for a deposit of $75, with the signed confirmation agreement due to The Willows Tea Room at least 15 days in advance of said event.
